Introduction

The CIS Guide serves as a short guide regarding the Campus Information System of the St. Pölten UAS. This guide was designed in the form of questions that are answered more or less extensively. It is divided into a general section, a student section and a lecturer section.

1. General Information

1.1 Why is the CIS necessary?

The CIS deals mainly with administrative issues and all functions that are not directly related to teaching. 

1.2 What is the purpose of the news?

The news section informs you about issues such as server maintenance (mail server, eCampus, etc.) and general information that may be important to you.

1.3 How can I log into the system?

Please go to https://cis.fhstp.ac.at and log in with your UAS user name and password.

1.4 How can I log out from the system?

To log out from the system correctly, please click on the link "Logout" in the upper right corner of the browser window.

1.5 What is the St. Pölten UAS link collection?

In the section “Links”, you can find important UAS links (e-mail, website, eCampus, etc.).

1.6 How can I verify my personal data?

You can check the most important personal data in the section “Mein CIS”(my CIS) – “Profil” (profile). In case these are not correct, please use the option “Add/correct data” which is displayed above the personal data.

2. CIS for Students

2.1 How can I access my personal course schedule (Stundenplan)?

In the course of the preparation of the course schedule (timetable), each student is assigned to different groups –to the fixed teaching units (divided by 2, divided by 4, …) as well as to special groups. By being assigned to those groups, the students’ course schedule is created automatically. This personal timetable can be found under "Mein CIS" (My CIS) – “Persönlicher LV-Plan” (Personal Course Schedule). By default, the current week is displayed when opening it. Please inform your study programme administration if your course schedule seems to be incorrect.

2.2 How can I import my personal course schedule into my private calendar?

There are different ways of exporting your course schedule: HTML, CSV, CSV Outlook, iCal 1.0, iCal 2.0, and others to follow. This allows you to export the data in the appropriate format and import them into your private calendar.

2.3 How can I access my grades?

As soon as the grades have been entered into the system, you can access them under “Mein CIS” (My CIS) – “Meine Noten” (My Grades).

2.4 Which types of documents can I print out independently?

Under “Mein CIS” (My CIS) – “Dokumente” (Documents), you can independently print the enrolment confirmation and the transcript of records. You can also print payment confirmations under “Mein CIS” (My CIS) – “Zahlungen” (Payments). 

2.5 Why can I not print my documents in the CIS?

You cannot print any documents until the tuition fee for the current semester has been paid in full. This function will be reinstated as soon as the tuition fee has been paid.

2.6 How can I check my payments?

Payments such as the tuition fee, the students’ union fee (ÖH-Beitrag) etc. can be verified/checked under “Mein CIS” (My CIS) – “Zahlungen” (Payments). Open payments are marked in red and thus easy to recognise. If you think you have already made this payment, please let us know.

3. CIS for Lecturers

3.1 How can I make a reservation?

In the area “Teaching” (Lehre) – “Course Schedule and Room Reservation” (LV-Plan & Raumreservierung), you can:

  • make a reservation
  • search for rooms (parameters: time and number of places needed)
  • cancel a reservation

Proceed as follows: select the room you wish to reserve. After the selection, the current week is shown. Select the individual hours to reserve, enter a title and description and press “Make Reservation” (Reservieren). You can also select a different week and different rooms.

3.2 How can I cancel a reservation?

You can delete a reservation you have made under “Teaching” (Lehre) – “Course Schedule & Room Reservation” (LV-Plan & Raumreservierung) – “Reservation List (Delete Reservations)” (Reservierungsliste, Reservierung löschen). Next to your reservations, you can find the button “Delete”. By clicking on it, your reservation will be deleted. It may be necessary to delete a number of hours per reservation in order to delete the complete reservation!

3.3 How can I search for a room to reserve it?

In the area “Teaching” (Lehre) – “Course Schedule & Room Reservation” (LV-Plan & Raumreservierung), you can also search for rooms by clicking on “Room Search” (Raumsuche). You can specify a date, a room type e.g. EDV (all computer rooms), SEM (all seminar rooms), etc. and the number of persons the room should accommodate. Afterwards, proceed as when making a regular reservation.

3.4 Why should I inform the course planning unit about the rescheduling of courses, cancellations, … in the course schedule?

To ensure that all personal course schedules are displayed correctly (both those of students and of lecturers), the schedule has to be revised by the course planning unit (lvplanung@fhstp.ac.at). This does not apply to reservations, as there are no teaching units assigned – this means that students do NOT see room reservations made by the lecturer in their personal course schedule.

3.5 When should I make a reservation and inform the course planning unit?

Reserving a room is a good idea if it does not concern the regular course of study. All teaching units should generally be planned by the course planning unit. By doing this, in case of postponements, cancellations, changes, etc. in the course schedule, all participants (lecturers and students) will be informed via e-mail. This is possible only if the courses have been scheduled by the course planning unit. 

3.6 How can I enter a grade for a course?

Please refer to the Grading Guide (BenotungsGuide) which can be found under “Info” (Information) – “Guides”.  To grade a course, go to “Mein CIS” (My CIS) – “Meine LVs” (My Courses), select the desired course and click on “LV Benotung” (Course Grading).

3.7 How can I enter my absences for the course planning unit?

You can enter your planned absences before the course planning unit starts scheduling. By doing this, you ensure that these times are not automatically scheduled during course planning. Go to “Mein CIS” (My CIS) – “LV-Plan Zeitsperre” (Course Plan Time Block) and define the times you certainly cannot be present at the St. Pölten UAS. Please note that these times have to be entered well in advance of course planning in order to be taken into account. Please also state a reason (e.g. stay abroad, holidays). 3.8 How can I enter my time requests for the course planning unit to consider them?

You can enter your attendance times (time requests) for the next semester before the course planning unit starts scheduling. To do so, go to “Mein CIS” (My CIS) – “Zeitwunsch” (Time Requests) and assign -2 to hours during which you cannot teach at the UAS, +2 to hours that are ideal for you. Make sure to avoid extremely narrow time frames – otherwise your requests will be difficult to take into account. Therefore, please keep the following in mind:

  • Only assign the number -2 if you really cannot teach at this time in order to allow for optimisation.
  • For every hour that is actually taught, please enter at least 3 times as many possible teaching requests.
  • Example: You teach 4 hours/week. Make sure to complete the matrix with at least 12 hours of possible teaching times.

3.9 How can I access my personal course schedule (Stundenplan)?
