Preamble
The PrintGuide is an introduction to the printer/copier for the user of the University of Applied Sciences. Furthermore, it serves as a manual for the most important functions and as a help for various problems.
Der PrintGuide ist eine Einführung in die Drucker/Kopierer der FH für dessen/deren User und zugleich ein Nachschlagewerk für die wichtigsten Anwendungen und zur Hilfe bei verschiedenen Problemen.
This script is divided into the following parts:
- General Information
- Printing
- Copying
- Scanning
- Campus Card Reload
- Contact Persons
1. General Information
The following two printing queues are available in the St. Pölten University of Applied Sciences:
- Canon_Secureprint_SW for BW-prints (location copy street on the ground floor, library and location Herzogenburgerstraße)
- Canon_Secureprint_Col for color prints (location copy street on the ground floor, library and location Herzogenburgerstraße)
1.1 Handling
- Send the document to the printer (Canon_Secureprint_SW or Canon_Secureprint_Col). The print will be stored in a queue (waiting queue).
- Print out and pick up the print at a Canon-copier of your choice.
- Hold your Campus Card to the reading field at the copier – You will be signed up automatically to the system. Now you can print out the desired document.
- Please do not forget to log out of the system after printing or copying! To do this, press the "ID" button on the device or "Logout" on the bottom right of the display. If you forget to log out, other people can copy at your expense - the University of Applied Sciences cannot grant a replacement! Please do not log out of the copier before copying / printing is completed!
ATTENTION!!!
If the copier stops working, do not press the main switch. Previously, press and hold the ON / OFF button for about 5 seconds, then wait for the device to shut down. Then the main switch can be pressed.
1.2 Druckgerätübersicht
1 Main Menu button
Press this button to go to the main menu display to select another function.
2 Express Menu button
Press this button to display previously saved functions.
3 Status Monitor/Cancel button
Press this button to check the status of jobs or to clear printed jobs.
4 Volume Adjustment button
Press this button to display the screen for adjusting settings such as transmission volume and volume for the "send / receive fax" alarm.
5 Brightness control
Use this knob to adjust the brightness of the sensor display.
6 Start button
Press this button to start an operation.
7 Stop button
Press this key to stop the job that is currently being processed.
8 Reset button
Press this key to return back to the default settings.
9 ID button (Log In/Out)
By pressing this button you log in / out.
10 Correction button
Press this button to delete accidentally entered values or characters.
11 Number buttons
Enter the numbers here.
12 Settings/Storage button
Press to save or specify function settings.
13 Energy Saving button
Press this button to turn on the energy saving mode. You can save power with it.
14 Check Counter button
Pressing this button displays the number of copies and prints made so far on the display.
15 Control Panel Switch (Sub Power Supply)
By activating this switch you activate / deactivate the sleep mode.
16 Sensor Display
Here are the displays for programming the individual functions. By default, three function buttons are displayed after the login.h1.
1.3 Printing
The document has to be sent to the copier from the workplace where the user is signed in (Canon_Secureprint_SW or Canon_Secureprint_Col).
After the document, that has to be printed out, has been created or opened and the command to print has been selected, the printer settings window opens. There you have to select the desired printer (Canon_Secureprint_SW or Canon_Secureprint_Col) in the printer selection menu; depending on the desired type of document (black and white or color).
Afterwards, the desired number of copies or page selection can be made.
If no specific fine adjustments have to be made, confirm with "Print". Click "Properties" for more settings.
1.4 Properties
Beside the basic settings, there are four additional tabs available: Page setup, finishing, paper feed and quality.
1.4.1 Page Setup
In the selection menu "Profile" you have the possibility to select predefined presets. These are explained in more detail when opening the pull-down menu. It is not possible to create personal profiles!
Page Size
In this tab you can select the document size (A4, A3, ...). If the document that has to be printed does not have such a standard size, you can select the desired output format in the pull-down menu below. Please only select A4 or A3 - other paper formats are not supported!
Copies
Here, if not done yet, the number of copies can be adjusted.
Page Layout
Here you can adjust the number of pages per sheet.
Manual Scaling
By activating (by ticking) the box, it is possible to print the content of the document smaller or larger on the specific paper size.
Watermark
By activating the check box (by ticking) it is possible to add a safety sign to the document (in the background of the actual document). The text of the watermark can be created by yourself.
View Settings
By clicking on this button a summary of the selected settings is displayed.
Page Options
By clicking on the button "Page Options ..." you get to a mask, which offers a selection of different frames. In addition, it is possible to print date, name and page numbers on the documents.
1.4.2 Finishing
In the selection menu "Profile" you have the possibility to select predefined presets. These are explained in more detail when opening the pull-down menu.
Print Style
By clicking on the arrow button 1-sided Printing, 2-sided Printing or Booklet Printing can be selected. By activating the box "Print with Mixed Paper Sizes / Orientations" you can order different paper sizes (A4, A3) or orientations (portrait format / landscape format).
Binding
Pages can be bound at the left or top (for example, for portrait format on Long Edge and landscape format on Short Edge).
Finishing
- Collate: Documents are collated exemplarily (1st page + 2nd page + 3rd page, …).
- Group: Documents are collated by individual pages (all 1st pages + all 2nd pages + all 3rd pages, …)
Staple and Collate: Pages are stapled and collated exemplarily. In "Staple Position…" you can staple the document as you like by selecting the binding side (left, right, top, bottom, double).
Furthermore, the document can be printed offset by ticking the box "Offset". In "Hole Punch" the document is punched by activating.
1.4.3 Paper Source
In the selection menu "Profile" you have the possibility to select predefined presets. These are explained in more detail when opening the pull-down menu.
Paper Selection
By clicking on the pull-down menu, the different options of the different paper types are displayed.
Paper Source
Here, the desired paper source is selected on the printer. For thicker paper, the Multi-purpose Tray should be used. This paper must be provided and inserted by the user. By default, the Auto mode is set to automatically select required paper according to paper format and paper availability.
1.4.4 Quality
In the selection menu "Profile" you have the possibility to select predefined presets. These are explained in more detail when opening the pull-down menu.
Advanced Settings
Here you can adjust more options for the paper quality.
Manual Grayscale Settings
After activating (ticking) the box you can manually adjust the grayscale settings by pressing the button "Grayscale settings ..."
1.5 Printing process at the printer
After you have made all the necessary settings and sent the document, you have to go to the printer (Canon_Secureprint_SW or Canon_Secureprint_Col), where you want to receive the print job.
The display of the printer shows that a login is required. The login is made by holding the Campus Card to the campus card reading field on the left side of the printing device – until a short signal confirms the recognition.
Then the main menu appears. To be able to retrieve print jobs, you have to press the "Secure Print" field on the display.
There all print jobs of your ID are displayed in chronological order.
To print a job in the list, select it and press the "Drucken + Behalten" button. The job is printed out and then disappears from the list under "Neue Aufträge".
However, under "Gedruckte Aufträge" the document still appears in the list and can be reprinted if necessary. Print jobs can also be deleted by marking them and then tapping on the "Löschen" field. By pressing the "Alle Drucken" button, all jobs that are displayed in the list will be printed.
Print jobs remain in the printer queue for up to 24 hours and are automatically deleted then!
2. Copying
When logging in to the printing device, the main menu appears. The copy mode is accessed by pressing the "Kopie" field on the display.
Individual documents can be copied by placing them on the glass plate or several pages using the multi-page feeder on the top of the device.
For the multi-page feeder, adjust the guide rail to the size of your original documents and insert the original documents neatly in the feeder with the side to be copied facing upwards.
With the feed slot, the machine usually recognizes the original size automatically. Otherwise it will ask for the correct size.
2.1 Copy Settings

To start the copying process, the green button on the device must be pressed. To cancel the copying process, the red button on the device must be pressed.
2.1.1 Automatische Color Selection
This function adjusts the color mode or B / W mode
2.1.2 Zoom Factor
Here you can set whether the original document should be printed larger or smaller (for example A4 format to A3 format). You can also control the zoom factor manually. By default, the factor 1: 1 is activated.
2.1.3 Paper Selection
This function serves, e.g. to copy an original A4 size document (without zooming) on an A3 format. Larger original formats can also be printed on smaller paper formats. You can also set the system to automatically detect the original format and then copy it to the appropriate paper format. In addition to the A4 and A3 trays, there is also the option to include special types of paper / foils for printing using the foldable multi-purpose tray on the right side of the device.
2.1.4 Recalling Pevious Orders
You can recall the three recent copy jobs. Afterwards you can use or change the settings of that job and use them for your new order.
2.1.5 Settings Favorites
You can save combinations of commonly used copy settings. You can recall the saved settings later, if necessarys.
2.1.6 Tightness
Adjusts the amount of B / W or color on the hard copy. Pressing the black or white semicircle will make the hard copy either darker or brighter.
2.1.7 Original Type
Here you can choose what the print should be optimized for. You can choose between text, photo or map.
2.1.8 Finishing
Here you can set functions such as punching, stapling and collating (exemplarily or by pages).
2.1.9 Double-Sided
Here you can adjust the function of double-sided copying as needed. Depending on the format, book type (portrait format) or calendar type (landscape format) must be selected. This function is especially when using the automatic feed slot of advantage, since the pages are copied double-sided without much effort.
2.1.10 Interruption
The interruption button is used to interrupt a current process to choose another operation.
2.1.11 Special Functions
Pressing the "Options" field will take you to the special functions menu:
(Page splitting, inserting cover page / backsheet / interleaf, overview, offset, booklet, binding margin, different original formats, continuous scanning, checking of the scan image, deletion of margins and booklet holes, ...)
Copy an open book onto two sheets of paper ("Buch 2 Seiten")
You can copy opposite pages from a book on separate sheets.
Creating copies of the front and back sides of a document ("Doppelseitig")
You can scan double-sided originals or copy double-sided originals.
Finishing
You can collate copies in the order of pages or in groups with the same page.
Furthermore, you can define whether you want the printed pages stapled (single / double) or punched (2-fold / 4-fold).
Printing page numbers ("Seitennummerierung")
You can tag the copies with page numbers. You can adjust the size, position and direction of the page numbers.
Copy several documents on one page ("N auf 1")
You can reduce the size of multiple pages of the original to copy them to a single page. You can also change the order of the layout.
Scan several documents separately and copy them together ("Fortlaufendes Scannen")
If your original set is too large to feed completely into a scan, divide it into multiple stacks and scan them one at a time. After scanning all the originals, the copying process of the collection document is started
3. Scanning
When logging in to the printing device, the main menu appears. You can access the scan mode by pressing the "Scannen und Senden" field on the display.

3.1 Scan and Sending Settings

To scan a one-sided document, simply press the button "MyMail" (1) or "MyFolder" (2) and then the green start button on the device. To stop the scan, you have to press the red button on the device.
If "MyMail" (1) is activated, the scanned document is now sent with the standard settings as a pdf file (pdf compact) to the own University of Applied Sciences mail address.
When "MyFolder" (2) is activated, the scanned documents are stored on the "Homes" drive of the registered person. For students, this feature is not available.
3.1.1 Fine Adjustments Settings
To access the fine adjustments settings, you have to confirm with "OK" on the display. Now you are in the fine adjustments settings menu. If not previously defined, you could also define your own address as recipient by pressing the "Empfänger definieren" button with the "Zielwahl" button or the "An eigene Adresse senden" button.
Enter address manually (not recommended!)
By pressing "Neuer Empfänger" and then "E-Mail" it is possible to enter an e-mail address individually.
If you click on the "E-mail-Adresse" button, you will get to a keyboard mask where you can enter a recipient.
3.1.2 Split and Send Large Data (Split Data)
The data is split into multiple parts before sending, if the amount of data to be sent exceeds the defined value for the maximum amount of data to send. Make sure that the recipient can reassemble the split data before activating this feature.
However, since this process is very detailed and time consuming, it is not recommended. It is better to send the required documents to your own address (see above) and then forward them to the recipients.
3.1.3 Address Book
You can also search for and select recipients in the University of Applied Sciences address book (1) or enter them directly in the address list (2).

3.1.4 Previous Settings
You can recall the last three recipients or send settings you have used. You can send by using the recalled recipient(s) or the recalled settings.
3.1.5 Setting Favorites
You can save frequently used recipients and settings. These stored programs can be recalled for later use.
3.1.6 Color Mode
Select full-color, grayscale, or B / W mode. You can also set the system to automatically select a color mode adapted to the original.
3.1.7 Resolution
Select the resolution the scanner should use. However, the default setting is sufficient for text and photos.
3.1.8 Paper Fomat
Select the scan format for the original. You can also set the system to automatically detect the original format and then scan and send it.
3.1.9 File Format
Select the file format for the scanned file. These are the formats pdf, tiff and jpg. Standard format is "pdf-compact", which offers a multiple technical compression of the ordinary pdf format.
3.1.10 Split into Pages
The button "Teilen in Seiten" must be activated if you want to receive all document pages that you scan as individual files in the mail. E.g. five scanned document pages would mean five individual files attached to the e-mail.
3.1.11 Double-sided Original
If you want to scan a double-sided original document and send it double-sided, this button must be activated.
Tip! When scanning double-printed documents via the feeder on top of the device, this button should be activated in any case!!
3.1.12 Different Original Formats
If you want to scan documents in portrait format and landscape format in one process, this button should be activated.

3.2 Options – Sending Settings
Pressing the "Options" button will take you to the other scan and send options
Automatic scan of the front and back sides of documents ("Doppelseitiges Original")
Touch this button to automatically send the front and back of double-sided originals for arrangement. Choose "Book Type" or "Calendar Type".
Scan pages from an open book on separate pages ("Buch 2 Seiten")
You can send opposite pages from a book on separate sheets.
Send documents with different formats at once ("Unterschiedliche Originalformate")
Sie können Originale in unterschiedlichen Formaten gemeinsam in einem Satz einscannen und senden.
Change tightness and send ("Dichte")
Change the light exposure. Press ◐ to make the light exposure darker or brighter. You can set the system to adjust the exposure by itself.
Confirm contents of scanned documents before sending ("Vorschau")
In this feature, you can check the scan data of your originals and check the page number before sending the documents.
There is also the possibility to delete individual pages. If all pages are correct, then press the "Sendung starten" button.
Recipients Settings
You can check the details of a recipient selected from the list. You can also change a new recipient. You can also delete recipients from the list of recipients. In addition to the recipient of the documents, you can specify e-mail addresses as recipients for the Cc and Bcc addresses.
When all the necessary settings have been made, press the green start button on the device.
In most cases, such a display will be displayed and you can simply follow the instructions. If necessary, the settings can still be changed. Scan the individual originals by pressing the green start button. After scanning all the originals, touch the "Senden starten" button.
4. Campus Card Recharge
If the volume of your Campus Card is consumed, you can recharge it at the "Money loader" (in the copy street on the ground floor).
ID Login
Um sich anmelden zu können, muss man die Campus Card an das Anmeldefeld hinführen und warten, bis die eigene ID am Display erscheint.
Receipt box
After recharging, a receipt will be printed out and ejected. It is essential to keep receipts in case of a complaint!
Display
The display asks for your ID before the login. After successful registration, your name and the current value will be displayed on your Campus Card.
ID Logout Buttons
By pressing one of the buttons you will be logged out of the system.
Encashment
Here you can insert the value you want to recharge your Campus Card with as a bill.
Attention: The Money loader has no change function!
To recharge the Campus Card, simply follow the instructions on the Money loader:
The "Money loader" cannot be used for recharging for the cafeteria!
